Production Assistant

Position type Full-time
Work Hours 09:30 – 18:00, Monday through Friday
(Some evening and weekend work required for events – compensatory time given)
Report to Chief Event Producer
Visa Requirement Applicant must be residing in Japan with a proper work permit
Salary & Benefits Salary commensurate with experience.
10 days paid vacation in the first year, increasing to 20 days after 6 years of employment
Japanese social insurance and pension, commuting allowance
Overview of Position
A Production Assistant supports the Event Producer on all of the roles listed below.
Training will be provided for the right candidate.
Age, marital status and gender will not be a barrier to the successful applicant.
Responsibilities
* The event assistant will support an Event Producer for the following activities:
* Event Proposals and Manual production: provide information and support Event Producer to create these
* Reporting supplier estimates to Producer
* Management of all suppliers, particularly for all onsite duties including hotel bookings, meal supplies and all needs on site
* Active hands on experience with Producer, in order to become an independent producer as well.
* Preparation of all materials required of client and /or Juice, for execution of proposals and events, in time, as requested. This includes all supplier schedules, venue applications and requirements, performer negotiations and schedules.
* Where applicable and possible, the preparation of bilingual options on all of the above items.
* Management of all files and documents related not only to one’s own projects, but including all general office files as well.
* Actively research new suppliers, artists and innovative technologies
* Utilize all opportunities to create a safe and eco-friendly working environment, seeking always to create a best practices working environment for all suppliers and locally sourced staff
Team Responsibilities
* Work and support all team members for all events
* Brainstorming and information gathering for all members as required
* General office maintenance as per request including supplies and services, in order to facilitate a better working environment for all. This is considered a shared activity for all members of staff.
Qualifications & Experiences
* Native Japanese (written and spoken) and a weighted preference on English ability as well
* A genuine interest in Production Experience, ideally for staging, lighting, sound and projection in Japan
* Strong communication / interpersonal skills
* Detail-oriented
* Time management skills
* Ability to work some nights and/or weekends for events and pitches
* Strong PC skills (database, Excel, Word, PowerPoint)
* Understanding and appreciation of expectations of quality and service required to conduct business in Japan
* All levels of experience will be considered for the above

Event Producer

Overview of Position
An Event Producer is responsible for managing and overseeing all aspects of event planning, pitches and production.
Responsibilities
* Event Management Production – Duties include, but are not limited to: working with both Clients and suppliers to ensure all aspects of event production are covered, for all aspects of technical, logistics and operations.
* Creation of estimates in line with scope of work
* Design: work with designers to create viable plans and designs for all aspects of staging, print and 3D design
* Proactive support in approaching and maintaining interest of new and established clients, and creation of support materials for all expressions of interest from such clients, including estimates, creative materials and all planning thereof, on behalf of Juice.
* Creation of materials for Juice including the creation and translation of marketing materials, credential updates, supplier lists and ongoing needs on an ongoing basis.
* Expense management for all event and office related expenses, as per terms outlined by accountant.
* Preparation of all materials required of client and /or Juice, for execution of proposals and events, in time, as requested. This includes all supplier schedules, venue applications and requirements, performer negotiations and schedules.
* Where applicable and required, the preparation of bilingual options on all of the above items.
* Management of all files and documents related not only to one’s own event projects, but including all general office files as well.
